Employment / Executive Assistant to the President
SUMMARY
Reporting directly to the Presidents of Shepherds College and Shepherds Foundation, the Executive Assistant to the President:
1) Provides an executive level of administrative support to the Presidents’ offices through the management of complex and often confidential operational details of the offices;
2) Provides information and service to a wide range of internal and external contacts, including the Leadership Team and both Boards of Directors, and
3) Coordinates all the details of the various meetings for the SC Board of Directors, SFI Board of Directors, and their various committees, including scheduling meetings, taking notes at board meetings, arranging for meals, and providing all necessary board materials.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Includes the following and other duties as assigned:
- Serves as a conduit of Christ’s love in an effort to point others to Jesus through actions and words
- Provides a wide range of complex office administration and support to the president, requiring excellent communication and interpersonal skills and a thorough knowledge of policies and procedures related to the successful operation of Shepherds College and Shepherds Foundation
- Serves as the principal administrative contact and liaison to support relations with external and internal contacts, including parents/guardians, politicians, community leaders, donors, staff, and students
- Oversees all planning for the Presidents’ Office, including managing calendars, arrangements for meetings and appointments, travel arrangements, expense reports, etc.; coordinates meetings led by either President through the inviting of attendees, preparing of documents, securing adequate meeting space, etc.
- Acts as a key liaison to Shepherds’ board members including regular communication, preparation for board meetings, and note-taking during the meetings
- Receives and responds to mail and email correspondence, prioritizing key communications that require each President’s most immediate response, preparing letters for the Presidents, and maintaining documentation of personal contacts with donors, board members, etc.
- Provides a wide range of support, including developing and maintaining a file system, keyboarding, composing and editing letters, reports, and presentations.
- Proficient in multiple technical applications, including word processing, database management, spreadsheets, electronic calendars, email, and other applications
- Contributes to the successful hosting of events on campus that involve either President, including event invitations and guest lists, arranging for event space, logistics, etc.
- Warmly and professionally greets visitors to campus, especially those coming to see either President
- Performs other duties related to the administrative support of both President Offices
SKILLS/EXPERIENCE/EDUCATION
- Experience as an Administrative Assistant
- Bachelor’s degree preferred
- Computer skills, including proficiency in Microsoft Office Suite
- Effective communication skills, including verbal and written communication
- Strong organizational skills; careful attention to details
- Possess a high level of professionalism, including the ability to maintain strict confidentiality
CERTIFICATES, LICENSES, REGISTRATIONS
Valid driver's license

All new employees are required to pass a physical examination, be tested for and be free of TB, and be tested for and free of Hepatitis B (or start the Hepatitis B vaccination series), all within the 90 days immediately prior to starting employment. Shepherds assumes payment for the cost of the physical and TB test as described above and will pay the cost of the chest x-ray and reading if one is required as well as any Hepatitis B testing or immunization. All additional costs are assumed by the employee.
